Director of Constituent Data Processing and Records Management

The Wisconsin Foundation and Alumni Association (WFAA)*, the private fundraising and alumni relations organization for the UW-Madison, is seeking a Director of Constituent Data Processing and Records Management.  In this role, you will manage the Constituent Data Processing and Records Management Teams. Oversee creation and maintenance of WFAA CRM data in support of key Advancement strategies. Directs business process development and improvement. Lead strategies for core data enrichment tools and services, data governance and special projects

The Wisconsin Foundation and Alumni Association is a private, nonprofit corporation that encourages individuals and organizations to make gifts to the university and to connect with the UW. In 2014, the UW Foundation merged with the Wisconsin Alumni Association® to better serve a growing population of UW alumni and donors. We believe that private support grows out of good relationships between campus leaders, faculty and program staff who need support, and the alumni and friends who want to invest in UW–Madison. Essential Functions

  • Manage a cross functional team responsible for recording, maintaining and saving critical business records related to constituent biographical data and documentation.
  • Establish and maintain business rules for constituent data and records
  • Identify opportunities for process improvement and automation.
  • Develop, document and communicate data & records policies and best practices.
  • Provide training to WFAA and Campus employees on their role contributing to data and records maintenance.
  • Monitor service requests from constituents, staff and campus partners and ensure they are fulfilled appropriately.
  • Liaise with technical teams on development and maintenance of data interfaces.
  • Establish and manage relationships with key data and technology vendors.
  • Build solid relationships that promote collaboration between teams and stakeholders.
  • Consult with internal and campus partners on opportunities to improve data coverage, accuracy and completeness.
  • Provide exceptional customer service to internal staff, campus partners, alumni, donors, and friends.

Qualifications

Required Qualifications:

  • 4+ years’ Constituent Data Processing and/or Records Management experience, or equivalent in business operations, customer service or data management roles.
  • Experience with relational databases and documents imaging systems, database query, business process design and documentation.
  • Supervisory experience.
  • Solid knowledge of data management principles 
  • Experience with query and reporting.

 

Other Qualifications:

  • Experience in customer/constituent relationship management (CRM) software such as Blackbaud CRM.
  • Post high school training, college degree, or equivalent.
  • Non-profit fundraising experience and knowledge of non-profit policies, procedures, rules and regulations
  • Familiarity with data privacy and protection laws and best practices.
  • Microsoft Office experience.
